Payroll Officer

Job Title : Payroll Officer
Reports to: Manager Payroll and Staff Benefits
Department: Human Resources
Location : Kigali

Duties and responsibilities

• To prepare correctly on a monthly basis information to update the payroll and submit it to the head of payroll not late than 8th day of every month;
• Ensure that remuneration levels, structure and benefits remain competitive;
• Prepare facilities for staff concern health insurance subscription;
• Handle all matters about welfare and social services (medical insurances, injuries, weddings, death allowances);
• To check the first preliminary summary of payroll against payroll information for the month and write any corrections to be made by the HR officer in charge of payroll;
• To ensure that terminal benefits of staff that terminates their employment contracts are correctly prepared and submit to the Head of Payroll within 10 calendar days after the departure;
• To identify all those staffs whose terminal benefits have not been prepared and make sure they are done;
• To prepare correctly staff documents regarding loan request and submit them to the head of payroll within two working days after receipt;
• Ensure that in the event where a member of staff terminates his/her employment contract his/her bank is informed in writing within 15 calendar days after the date of termination;
• Prepare final balance due to close files of resigning or dismissed staff; answer different questions on salary and other benefits.


• A degree in Finance or Accounts;
• Minimum 3 years’ experience of payroll processing;
• Microsoft Excel, Word, PowerPoint etc.
• ID or Passport Copy
• Notified degree
• Relevant certificates
• 2 Passport size photos
• 3 current references


• Ability to perform relevant financial analysis;
• Exceptional energy, dynamism and professionalism;
• Strong communication and presentation skills;
• Strong people skills and ability to work in dynamic environment;
• proficient at multi-tasking and will be team oriented;
• Highly motivated and a self-starter;
• Willing and able to manage tight deadlines and work under pressure and with limited resource / infrastructure
